Download, correct or delete your child's data

The My child's data screen: a copy of the records, fixing something that's wrong, deletion, and photo permissions.

For parents and guardians

Where to find it

  1. Open Settings Go to More and tap Settings. It opens on the Account tab.
  2. Open Data & Privacy Tap Data & Privacy to expand it.
  3. Tap My child's data The My Child's Data screen opens.

It starts with Your rights, lists the children on your account, then What we collect: each kind of record — profile and contacts, attendance, daily reports and care logs, health and incidents, observations, photos and videos, messages, billing — with how long it's kept. For a plain-language summary, see What RoundUp collects about my child.

On some phones, screenshots of this screen come out blank. That's deliberate, given what it lists.

Getting a copy

Tap Request a copy of my child's data. You'll see Export requested with a reference, and an email with a download link follows when the file is ready — the app says typically within 24 hours.

While you're still on the screen, Check export status tells you whether it's ready and offers Download. If you've left the screen, use the link in the email. Download links expire; if yours has, request a new copy.

The file includes photos. Keep it somewhere private.

Asking for a correction

  1. Tap Ask us to correct something that's wrong The Correct Record form opens.
  2. Choose the area Under Which information?, pick the kind of record.
  3. Say what's wrong What's wrong? needs at least ten characters. Be specific: which record, which date, and why it's wrong.
  4. Give the right version What should it say instead? is optional, but filling it in saves a round of questions.
  5. Tap Submit You'll see Correction requested, the date it should be decided by, and a reference.

The request then appears under Your correction requests on the same screen: Waiting on your center, Approved — the record will be corrected, or Denied with the reason given.

If a request is denied, Request a hearing lets you challenge the decision. If the hearing also goes against you, Add my statement to the record lets you put your side in writing, and it stays with the record from then on.

For small things — a misspelled name, an old phone number — telling your center is quicker. See Updating your details.

Asking for deletion

Tap Request deletion of specific data, read the note, and tap Submit Request. You'll see Deletion requested with a completion date and a reference.

Although the button says specific data, the request covers the data on your whole account rather than a part you choose — it's the same request as Delete My Account, covered in Deleting your RoundUp account. If you only want something particular removed, email privacy@roundupece.com and say exactly what.

Some records are kept after a deletion request because the law requires it, such as billing records and recent attendance. The confirmation lists what's kept and why.

Photo and video permissions

To see your child's current settings, go to More and tap Media consent: whether photos and videos are allowed, family sharing, and external marketing.

To change them, use Photo & video preferences near the bottom of My child's data:

  • Stop external sharing (marketing, social, web)
  • Stop sharing with other families
  • Withdraw all photo & video consent

Each asks you to confirm, then goes to your center as a request for every child on your account. Staff review it and confirm by message.

Family sharing includes you

Once family sharing is off for your child, their photos are hidden from families in the app — yours included. There isn't a setting that hides your child from other families but not from you, so if that's what you're after, talk to your center about how they handle group photos.

When your center asks you

Sometimes the request goes the other way, and your center asks to change your child's photo permissions. Those appear under Your center is asking permission, with who asked and what would change. Nothing changes unless you tap Approve. Deny leaves things as they are.

Who handles it, and how long it takes

A copy of your data is put together automatically and emailed to you. Correction and deletion requests go to RoundUp's privacy team at privacy@roundupece.com, the inbox named in our privacy policy. Your center is responsible for its own records, so we work with them on anything that's theirs to decide — and some records they're required to keep. Photo and video requests go to your center.

How long each step takes is set out in our privacy policy. You can also email the privacy inbox directly, or start with your center. Our commitments for children's records are set out in full in the student data privacy policy.

Still stuck?

Your center's director can see your family's account and can fix most things fastest. If the app itself is misbehaving, that one's ours.
