Which staff see what — and why a teacher can't pull up your phone number.
Your child's teachers
Staff assigned to your child's room see what they need to care for them: the roster, check-in and check-out, daily reports, photos, allergies and medical notes, and your classroom messages.
They don't get your full contact record. A teacher can't pull up your address or your billing — not because they aren't trusted, but because a job doesn't need it.
Directors
Directors and administrators see more, because running the center requires it: family contact details, emergency contacts, authorized pickups, enrollment records and billing.
This is why your director is who to ask about anything account-related. They can actually see it.
Staff in other rooms
Access follows room assignment. A teacher in the toddler room doesn't get your preschooler's records because they work at the same center.
Floaters and closers are assigned to the rooms they genuinely cover, so during a late-day combined room the staff present can see the children present — which is the point.
Billing
Limited to directors and administrators. Your child's teacher does not see whether your tuition is paid, and shouldn't — which is worth knowing if you're ever behind. It doesn't follow you into the classroom.
Incident and medication records
Teachers file these for their own rooms. Reading across the whole center is limited to senior staff. Records are audit-trailed: who wrote what, and who changed it afterwards.
Not your director, not us. If anyone asks you for it, that's a warning sign regardless of who they claim to be.
When staff leave
A staff member's access ends when your center deactivates them, including any session still open on a classroom tablet. Their past records stay attributed to them, because those are licensing records your center is required to keep.
