Running more than one center

Working across several centers from one account, and seeing them side by side.

For directors, owners and staff who work at more than one center

One account, several centers

A person has one RoundUp account, and each center they work at adds a membership to it. To give someone access to a second center, add them from that center's Staff screen with the same email address they already sign in with. They don't get a second account or a second password — the new center joins their list.

Access levels belong to each membership, not to the person. A lead teacher at one center can be an assistant director at another, and RoundUp applies whichever role they hold at the center they're working in.

Same email, every time

Adding a different address at the second center creates a second, unrelated person: two accounts, two sign-ins, and nobody seeing the whole picture. See Adding and removing staff.

Switching centers

Once an account belongs to more than one center, More gains a Centers section, with the active center named under the heading.

  1. Open the list Tap Switch center. If a center you were just added to is missing, tap refresh at the top.
  2. Pick a center Tap the one you want. The center you're working in has a check mark.

Everything then follows that center: rosters, rooms, ratios, billing, and which state's licensing rules apply. Nothing from one center appears while you're working in another, and the roles that decide what you can see are the ones you hold there.

The All Centers report

Directors, assistant directors and admins also get Multi-center reporting in the Centers section. It opens All Centers:

  • Overall totals — Children enrolled, Present today, Open invoices and Incidents (30d) across every center in the report.
  • Per-center breakdown — for each center, how many of its enrolled children are present today, its open invoices, its incidents over the last 30 days, and a ratio status: Compliant, At risk, Out of ratio or No data.

The percentage labelled occupancy is the share of that center's enrolled children who are present today. It's attendance, not how full you are against licensed capacity.

The report covers every center your account belongs to, plus any other center in the same organization as the one you're working in. The ratio status is a snapshot from when the report loaded, so use it to decide where to look, then switch to that center and open Ratio Monitoring for the live picture.

Sign-in and single sign-on

Single sign-on is connected per center. A group running several centers connects its provider at each one, and a sign-in through one center's provider only ever opens that center — the Auth0 guide explains why.

When someone who works at several centers enters their email on the sign-in screen, RoundUp shows the center it will sign them in to — a center where they hold a director-level role, if they have one — and offers that center's sign-in. From there they switch as usual, with one limit: switching into a center that signs in with its own provider needs a sign-in through that provider. If the switch is refused, sign out and sign in through that center's provider — from your provider's own dashboard (the Okta or JumpCloud portal, for example) if the RoundUp sign-in screen offers a different center.

Families at more than one center

A family with children at two of your centers accepts an invitation from each, using the same email. After signing in, though, a family sees one center: the first one they joined. Their children at your other center don't appear for them, and families don't have a center switcher.

If that's causing a problem for a family, tell us which family and which centers.
