Connect Deel

Linking the staff you manage in Deel to RoundUp, what RoundUp reads, and what it never touches.

For directors and admins

What it does

If you manage your team in Deel, connecting it means you keep one roster instead of two. Once your center's Deel organization is connected, RoundUp:

  • links each staff member to their Deel profile, matched by work email,
  • keeps their start date and leaving date in step with Deel, and marks someone whose employment has ended in Deel as a former staff member, which also ends their RoundUp access,
  • shows time off booked in Deel alongside your staffing.

The connection is read-only. RoundUp never changes anything in Deel, and nobody is added to RoundUp or invited because they're in Deel.

Before you start

  • Deel is in early access. Email support@roundupece.com to have it turned on for your center. Until then the Deel page says Not available for this center yet.
  • You need director or admin access in RoundUp.
  • You need an admin login for your Deel organization. Deel asks an admin to approve the connection.
  • Each staff member's work email in RoundUp should be the same address Deel has for them. That's what links the two.

Connect Deel

  1. Open the Deel page In the RoundUp director portal, go to Integrations and choose Deel.
  2. Connect Click Connect Deel. Deel's sign-in page opens; sign in with your Deel admin account.
  3. Approve Deel shows what RoundUp is asking for: People data and Time off data, both read-only. Leave Hide all personally identifiable information unticked: it can hide the email addresses RoundUp matches your staff on. Click Allow.
  4. Sync Back in RoundUp, the page shows Connected. Click Sync now to link your staff straight away, or wait for the morning sync.

The morning sync and Sync now

RoundUp syncs with Deel automatically early every morning. Sync now runs the same sync on demand, for example right after you've hired someone in Deel. When it finishes, the page shows what happened:

You'll seeWhat it means
X of Y staff matched to DeelHow many of your RoundUp staff were found in Deel by email.
N updatedStaff whose link, start date, leaving date or status changed in this sync.
N marked as former staffPeople whose employment has ended in Deel. Their RoundUp access ends.
N Deel people without a RoundUp accountPeople in Deel who aren't RoundUp staff at your center. Nothing is done with them. This is normal for an organization with other locations or office staff.
N staff not found in DeelRoundUp staff whose email didn't match anyone in Deel. See Troubleshooting.

The Connection health card on the Integrations page shows when Deel last synced and when it will next.

How staff are matched

RoundUp matches by email address, and only among your own center's staff: an address that belongs to someone at another center is never matched. For each Deel person it uses the work email on their main employment first, then their Deel login email.

When a match is found, Deel is treated as the source of truth for:

  • the employment start date,
  • the leaving date, when Deel has one,
  • and whether someone is current or former. An employment Deel shows as ended or inactive makes them a former staff member. Someone Deel shows as active stays current, even if an old leaving date is still on their record.

Names, roles, classrooms, schedules and everything else on the staff record stay as you set them in RoundUp.

Time off

Time off booked in Deel, with its dates, type and whether it's approved, shows on the RoundUp app's Payroll & HR screen: More → Marketplace → Deel → Manage. RoundUp reads it from Deel each time you open the screen; it isn't copied into RoundUp, so it's always as current as Deel. Time off requested in RoundUp itself stays in RoundUp; the two aren't merged.

What RoundUp reads, and what it doesn't

RoundUp asks Deel only for People and Time off, read-only, and from People it requests a short list of fields: name, work and login email, job title, start and leaving dates, and employment status. It never asks for, and Deel never sends it:

  • pay, salary or compensation,
  • Social Security or other national ID numbers,
  • dates of birth,
  • home addresses.

No information about children or families is ever sent to Deel. See our privacy policy.

Disconnecting

On the Deel page, click Disconnect. RoundUp stops reading from Deel immediately and forgets its access. Nothing in Deel changes, and the staff records already linked stay as they are. Your Deel admin can also remove RoundUp ECE from Deel's connected apps.

Troubleshooting

Someone shows up as "not found in Deel"

Their email in RoundUp doesn't match the work email Deel has for them. Correct whichever one is wrong, then click Sync now.

The page says the sign-in expired

Deel's access lasts a long time, but it can be withdrawn in Deel or lapse if the connection goes unused for months. Click Reconnect and approve again. Nothing is lost.

Sync now says Deel is busy or couldn't be reached

Deel was briefly unavailable. Wait a few minutes and try again; the morning sync will also catch up on its own. You don't need to reconnect.

Sync now says another system takes priority

Your center is also connected to a payroll system that RoundUp reads first (Sage HRMS, QuickBooks Workforce or Square Payroll). A center can have one system of record for staff: disconnect the one you no longer use.

"Deel refused the request"

The Deel account that approved the connection doesn't have permission to read People or Time off. Reconnect with a Deel admin account, or contact support@roundupece.com.

Questions

Does RoundUp change anything in Deel?

No. The connection is read-only.

Will new hires in Deel get RoundUp accounts?

No. Add them as staff in RoundUp as usual. The next sync links them to their Deel profile by email.

We have several centers in one Deel organization. Is that a problem?

No. Each center connects on its own and only ever matches its own staff. People at your other locations are counted as without a RoundUp account and left alone.

Does it cost extra?

No. The Deel connection is included with RoundUp.
