Approving End of Day
What families see before you approve, what your approval releases, and returning a room's day for fixing.
What approval does
A room's daily reports reach families in two halves. The care half goes out as teachers log it. The written half — the day's highlights, teacher observations and notes, the daily summary, and photos — waits until you approve the room's End of Day.
That makes approving the step that finishes each family's day. A room nobody approves stays half-told: families see the meals and naps, but never the story or the pictures.
What families already see
Meals and bottles, naps, diapers and bathroom trips, temperatures, health notes, mood, check-in and check-out, and requests to bring something in all reach a family moments after a teacher saves them. You don't need to approve anything for those, and you can't hold them back.
Name to face and Move rooms entries never reach a family at all. They're records for staff.
The End of Day queue
When a room finishes, a teacher opens End of Day on the Classroom tab, works through the checklist and sends it to you. You get a notification — End-of-day awaiting approval — and tapping it opens the queue. You can also reach it any time from More → End of Day.
The queue shows one day at a time; the arrows either side of the date move between days. Pending, Approved and Returned filter the rooms. Each card shows who sent it and when, how many children and reports it covers, any note the teacher left you, and the checklist they ticked.
While a room is waiting on you its written reports are locked, so teachers can't change what you're reviewing. They can still log care — a child who's there until six still needs their five o'clock bottle recorded.
Approving a room
Tap Approve on the room's card, add a note for the room if you want, and confirm. The written part of every report in that room for that day goes to the families straight away.
Look over the reports themselves first, in More → Daily Reports. Approving is a statement that you've read what families are about to read. Once a parent has read it, it's been read.
Returning a room
If something needs fixing — nap times missing, a note that shouldn't go home as written, a photo of the wrong child — tap Return and say what to fix. The note is required, because a room sent back without one has no way to know what you wanted.
Returning unlocks the room's reports. The teacher sees your note on their End of Day screen, fixes the reports, and sends the day again.
Making it a habit
- Clear the queue before you leave. The written part of the day reaches families only when you approve it. A room approved at six reads as a day that was written up; one approved the next morning reads as a day that wasn't.
- Share the load. Assistant directors and admins can approve too, so a day off doesn't hold every room's reports.
- Return, don't rewrite. If a report needs changing, send it back to the teacher who wrote it rather than editing around them. They were in the room.
