Invite families to the app

Getting parents into the app, seeing who has actually accepted, and dealing with the ones who haven't.

Sending an invitation

Invitations go to a guardian's email address from the family or child record. The parent accepts, chooses a password, and lands in the app.

Check the email address before sending. A typo produces an invitation that vanishes silently — nobody bounces it back to you — and the parent tells you three weeks later that they never got anything.

Who has accepted

Guardians show as invited or accepted, so you can see who is genuinely in the app. Worth glancing at before you rely on the app to communicate anything important: an announcement reaches the parents who accepted, not the ones you invited.

Resending

Invitations expire. If a parent's link no longer works, send a new one — it takes seconds and is the answer to most "it says expired" messages.

If they still see nothing, it's nearly always spam filtering or a wrong address. Ask them to check spam first, then confirm the address you have.

Inviting both parents

Invite each guardian separately with their own email address. They each get their own account and both see the same child.

Resist the temptation to let two parents share one login. Separated families need separate access, and a shared password is impossible to revoke for one person only.

Rolling out to a whole center

If you're moving an existing center onto RoundUp, get the rooms, rosters and staff right first, then invite families in a batch. The app should have something worth looking at on the day parents arrive — an empty daily report on day one costs you more goodwill than waiting a week would have.

Tell families it's coming before the email lands. An unexpected invitation from an app they've never heard of looks like phishing, and a fair number of parents will treat it that way.
