Potty training and medication doses
Logging toilet trips so the progress numbers mean something, and the checks that come before any dose.
The Potty tab
Open Care → Potty and pick the child. The card at the top shows their training Phase. Underneath are four numbers: Success rate, Successes, Accidents and Day streak.
Logging a toilet trip
Under Log an event, tap what just happened:
- Used toilet (pee) or Used toilet (BM): a success.
- Accident.
- Dry check or Wet: what you found when you checked.
One tap saves it. RoundUp says Logged, and the event appears under Today's log with the time and who logged it. There's no confirmation step and the time recorded is when you tap, so tap the right button, and tap it when it happens.
Log toilet trips here rather than as a pull-up entry on the Care Log tab. Only this tab feeds the numbers.
Phase and progress
The phases run Not started, Introducing, Active training, Mostly trained and Trained. Directors and assistant directors change the phase. When a child is ready to move on, or has gone backwards, tell your director, so the record matches what's happening in the room and at home.
The numbers cover everything logged for the child on this tab, not only today's:
- Successes counts Used toilet taps, and Accidents counts accidents.
- Success rate is successes out of successes plus accidents. Dry checks and wet checks don't change it.
- Day streak is the run of days, up to the last day anything was logged, with at least one success and no accidents.
A rate built from three taps says very little. Give it a couple of weeks of consistent logging before reading much into it.
What families see
Families can see their own child's phase, numbers and logged events in their app, and can't change any of it. See Potty training for their side.
Where medication lives
A director adds each medication to the child's record, with its name, dosage, schedule and any expiry date. Teachers can't add them. You'll find them in two places:
- Care → Medication. Today's Doses lists each active medication as Authorized or Needs auth, and the doses logged on the chosen date. Authorizations shows who signed each one, when, and whether they signed in their own app or in person with a staff witness.
- Health → Medications, opened from the Incident shortcut on the Classroom tab. Each medication shows its dosage, schedule and expiry, with a Log dose button once it's authorized, and today's doses under Administration log.
Before the first dose
No dose without the family's written authorization, and RoundUp holds it. A medication that hasn't been signed for shows Needs auth and Awaiting parent authorization before doses can be logged. with no Log dose button — on Care and on Health alike. That's a stop, not a nudge.
You can take the signature yourself when the guardian is standing there. Tap Capture parent authorization, hand them the device, and they type their full legal name and sign. RoundUp records it as signed in person with you as the witness — so type their name, not yours, and don't sign it for them. A guardian can also do it from their own app without you.
If the guardian isn't there, find your director. Don't give anything on the strength of a message or a word at the door.
Then check that the label on the medication, the authorization and the dosage in RoundUp all agree. If they don't, don't give it until they do. The same goes for anything marked Expired — the authorization has run out and a new signature is needed before the next dose.
Logging a dose
- Find the medication On Health → Medications, find the child's medication and tap Log dose. No button means it isn't authorized, has expired, or has been marked inactive — the card says which.
- Record what happened Dosage given starts with the prescribed dosage, and Time administered (HH:MM) with the current time in 24-hour format. Change either to match what you actually gave, and when.
- Add notes Refused, spat out, a reaction: anything you noticed.
- Save Tap Log dose. RoundUp confirms Dose logged, and the dose appears in the administration log and on the Care tab's Today's Doses.
A medication marked Authorized on the Care tab also has its own Log dose button there, which asks for Time given and notes before you tap Log.
RoundUp reads the authorization off the signed record, so you never retype who gave permission. If a dose does get logged without a current one — most often from a tablet that had been offline — it's recorded as given without authorization and your directors are told. That's worth knowing before it happens rather than after.
Log the dose as soon as you've given it, and have the person who gave it do the logging. Doses can't be edited once they're logged, so check the time before you save.
If a dose goes wrong
Tell your director and the family immediately. Only log a dose that was actually given, exactly as it was given, and write what happened in the notes. A mistake recorded honestly is a manageable conversation; one discovered later is not.
