Documentation

RoundUp Early Childhood is a cloud-based childcare management platform for preschools, childcare centers, and early learning organizations. This page covers getting a center up and running, how sign-in works, what each part of the platform does, and how to reach support.

New center? Start with the launch plan — a week-by-week rollout plan with owners and checklists — and the how-to guides for teachers, directors, and families.

1. Getting started

After subscribing (directly or through a marketplace such as AWS Marketplace), your center receives access to set up its organization account. Onboarding is guided and typically takes a center through:

  1. Center details — name, locations, classrooms, hours, and licensing information.
  2. People — importing existing family and staff records, or inviting them fresh. Staff receive email invitations; parents are invited from their child's record.
  3. Workflows — configuring enrollment forms, tuition schedules, attendance rules, and which features are enabled for your center.

For a week-by-week version of this with owners, checklists, and a go-live readiness list, see the launch plan. Directors setting up an account from scratch should work through the director's setup guide.

New centers can evaluate the Service free for 10 days — no credit card required to start. Setup assistance is included; contact support@roundupece.com to schedule guided onboarding.

2. Signing in

Staff and administrators

Staff sign in with their work account through their organization's identity provider (Microsoft Entra ID). RoundUp does not store staff passwords — authentication happens at your identity provider, so your existing access policies apply. If your organization protects its identity provider with single sign-on and multi-factor authentication (for example, Cisco Duo), RoundUp sign-in inherits that protection automatically. Duo administrators should read Using Duo with RoundUp, which covers both that arrangement and connecting Duo Single Sign-On directly.

Families

Parents and guardians sign in to the mobile app with the account created from their invitation. Access to a child's information is limited to the guardians and authorized contacts the center has approved.

5. Data & security

RoundUp runs natively on AWS infrastructure. Data is encrypted in transit and at rest, access to child records is scoped to the guardians and staff a center authorizes, and payments are processed by Stripe — card details never touch RoundUp servers. For details on what we collect and how it is handled, see the Privacy Policy and Terms of Service.

6. Support

Step-by-step guides for day-to-day use live at roundupece.com/guides — including a teacher's first week and a family guide centers can print for their welcome packet.

Standard support covers account setup and initial configuration, product configuration and customization, troubleshooting, and general platform questions.
